These dashboards update themselves using Portal data which is retrieved every 15 minutes. They might take a minute or two to load.
If you have any trouble accessing dashboards, please contact the Data Team.

• Note: Privacy Levels

  The first time you open a dashboard, you may be asked to select privacy levels for the file. Please open the section below for instructions.

  How to select privacy levels

  1. Click the dropdown next to the first data source that needs privacy level information.
  2. Click "Organizational".

     If any other data sources need privacy level information, repeat for those.

  3. Click "Save".

  

  Dashboards that connect to SharePoint may ask you to log in to SharePoint through Excel before you can set the privacy levels for that dashboard. To log in to SharePoint through Excel, please follow these steps.

  • 1 - 2. Click "Organizational Account" on th left. Then, click "Sign in".

    

  • 3. Click on your name and email. This uses your Windows login information to log in to SharePoint.

    

  • 4 - 5. Make sure that the popup says "You are currently signed in." Then, click "Connect".

    

  • 6. You may now be asked to set the privacy level for SharePoint, as shown above.

• Alumni Service Utilization Dashboard

  Information about alumni who have and have not used YOTO services in the current fiscal year.

• Applications in Statuses for More Than 30 Days

  A list of applications which have been in their current status for more than 30 days. You can use slicers to filter applications by school, region, and district.

• Application Review Tool

  A tool to review youths' answers to application questions in a way that better matches the program manual. PC review questions fill in a template that can be copied into the Portal.

  A tool to create contact lists using youths' YOTO IDs.

• Mini Mall Task Incentive Dashboard

  Lists youths who have submitted a Mini Mall request in this fiscal year who need to have their Mini Mall task incentive task marked as "Completed".

• Stipend Maximums for Digital Payments

  Calculates the maximum amount that could be paid as stipends based on youths' enrollments.

• Stipend Submissions Dashboard

  Stipend submission and correction rates for the current and prior months, as well as lists of youths who haven't requested a stipend in these months broken down by region. Also includes youths' answers to stipend reqeust form questions such as living situation and school needs.

• Utilization Dashboard

  Summarizes youths' utilization of special requests, bill assistance, and financial assistance, including amounts resectioning and amounts carried forward from previous months.

• Youths 16+ without Basic Needs Stipends

  Lists youths who are 16 or older but who do not have the Basic Needs Stipends supplement program.

• Youths with Earned Unpaid Task Incentives

  Lists youths who have completed the required tasks to earn a task incentive who have not yet received their payment. This list includes youths who are Inactive, which you may choose to filter out.

• Youths with YOTO Mastercards but no Digital Payments supplement

  Lists youths who have a completed YOTO Mastercard task but who do not have the Digital Payments supplement.

• Youth Attendance Rates Dashboard

  Calculates youths' average attendance rates based on stipend attendance data. Allows filtering by month, enrollment, grade, and living situations, and also includes summaries of attendance rates by school, district, and living situations.

Daily reports are run each day around 7am.
If any of these links don't work correctly, you can check the Exports folder or the Archives folder for a previous version of the report you need.

• Mini Mall Report Data

  Mini Mall inventory information, including items received, items requested, and a "shopping list" of each item's inventory levels and amount to buy.

• Special Services Utilization Report

  This report totals the number of pending, approved, packaged, and delivered special requests of different types for each month in the current fiscal year, broken down by Schools/Alumni programs.
  It also includes a sheet displaying this month's request totals in each category to make it easier to compare these to program limits.

  Provides an overview of YOTO's progress on the current strategic plan.
